After using the web form to create your new signature, follow these steps to copy and paste it into Outlook for Windows (Instructions written for Outlook 2016. Steps may vary slightly for other versions.)

  1. In Outlook, open the message that was sent to you containing your new signature.
  2. Press Ctrl-A to select all of the signature text.
  3. Press Ctrl-C to copy it to your clipboard.
  4. Click File tab in the upper left-hand corner of the message.
  5. Click Options on the left side menu.
  6. Click Mail on the left side menu.
  7. Click the Signatures… button (third button down on the right).
  8. If you do not already have a signature created, click the New button, enter a name for it and click OK.
  9. If you already have one or more signatures created, select your SON signature and it will be displayed in the box below.
  10. Click on the area where you will enter/edit your signature.
  11. If you are editing an existing signature, press Ctrl-A to select your entire existing signature.
  12. Press Ctrl-V to paste your new signature.
  13. You may make any necessary changes to your signature at this point as long as they comply with MarCom’s standards.  Note you should not make changes here to your e-mail address or URL (if you have one) because that will alter the approved color for these links.  If you need to make changes to your e-mail address or URL, please go back to the signature creation web page, make the changes there and send yourself an updated signature.
  14. Click the Save button.
  15. In the upper right, ensure your JHU e-mail account is selected in the dropdown box.  This will probably read something like “Microsoft Exchange” or “Outlook.”
  16. Select the option to include your new SON signature for all “New messages” and “Replies/forwards.”
  17. Click OK twice.
